Top tips for creating a business travel policy

We work with lots of businesses – from large businesses to medium-sized to smaller businesses; travel management can have a touch of Goldilocks about it.

One thing they all have in common is that, they don’t actually have all that much in common – and that’s where our unique approach and commitment to tailored travel solutions comes in.

At the start of our partnership, we like to get under the skin of your company to truly understand your travel, and business, requirements. To do so, we’ll work with you to create a business travel policy which means you can have peace of mind that your employees are booking trips which marry up to your guidance and there’s no question over safety, invoices or upgrades.

Here, we speak to our Director of Corporate Travel – Scotland, Maggie Monteith, for her top tips to consider when you’re starting to think about your business travel policy.

Firstly, what is a business travel policy?

Essentially a business travel policy is a set of guidelines which ensures everyone is on the same page, whatever stage of the travel journey they’re part of. It helps keep travellers safe, helps you control travel spend and ensures all the finer details are taken care of. Here at Traveleads, it means our consultants can easily book the most appropriate journey for your travellers while you can have peace of mind that it’s all in hand.

Keep it simple

The more complicated your policy, the more arduous it will seem to follow and therefore could result in low compliance. Keep guidelines easy to follow and with the end user in mind – explain how the process is beneficial for both them and the business as a whole.

What makes sense for your business?

Every business’ travel policy is different – if you only have one regular traveller, the CEO for example, your policy can probably be a little more open than if you have 400 travellers visiting different countries throughout the world regularly.

Your policy also needs to fit in with your company culture; consider what kind of independent choice and wellbeing support you want to weave in. Our account managers will be able to help advise too – they can help you offer your team flexible travel options within guidelines such as allowing upgrades after seven hours of travel or giving them the choice to select a hotel within a certain radius of their key destination, whilst within budget.

How will it help me?

You’ll be surprised at how much time you’ll save once you’ve worked with your Traveleads account manager to create a policy you’re happy with. Your team will no longer have to run every travel scenario past you – nor will you need to worry about potential overspend, plus our consultants will always be in the know of your policy meaning they can provide support and advice to your travellers within your ideal guidelines; it’s all taken care of and you can get on with what you do best.
